There are programs out there that help make the process of sending report cards home easier, but you have to pay a monthly fee per student. It’s up to you, but at this point, I think a simple spreadsheet can do the trick.

In my second year I created a much simpler report card after every midterm and final. Students would do a midterm or a final test every 5 – 7 weeks, so it was no longer a monthly thing. Also, this way, I was able to put more information on the report cards.

Here are 6 things that I included in the report cards:

1. Student and Class Information

2. Vocabulary Scores

3. Test Scores (Reading, Grammar, Speaking, Writing)

4. How many times they were late

5. How many times they didn’t finish the homework

6. 2 sections of comments  

*For every score, I included the students score, the average score of the class, and the highest score

Here are 4 reasons why my report card was helping my business:

1. It showed parents that their children were being tested and they could see their results

2. It pressured students into trying harder for tests, especially because the class average and the highest score was included

Whatever you do, you need to make sure that you can clearly show parents that their child is learning and is not wasting their time at your hagwon. If you have a consultant who talks to the parents on your behalf, you will need to clearly communicate to them how your students are doing because they most likely won’t know. And if they don’t know, then the parents won’t be able to find out. This can be very frustrating for your consultant.
